Invoice Footer Generator
The legal footer an invoice needs: registered name, number, office and tax ID.
The closing invoice: full price, deposits deducted, balance due.
A final invoice should show the whole transaction, not just the last slice of it. List the deposits and stage payments here — one per line, as reference, date, amount — and they are deducted from the full price with their numbers referenced in the notes.
The Final Invoice Generator closes a job by showing the whole transaction — the full price, every variation, every deposit and stage payment deducted with its date, and the balance due — rather than only the last slice of it.
A final invoice closes a job, and the only way to do that cleanly is to show the whole transaction rather than just the last slice of it. The full price, every payment already made, and the balance remaining — in that order, on one page.
Showing only the balance is the common shortcut and it causes two problems. The client’s records no longer reconcile against the total they agreed, and the tax on the earlier payments has to be traced through several documents at year end. This builder avoids both: the total is on the page, the deposits and stage payments come off as visible deductions, and the tax already accounted for on them is shown.
Variations, extra work and late additions go in as their own lines, so the difference between the original price and the final one is explained rather than merely present.
So the client’s records reconcile against what they agreed.
Extra work as its own lines, with what changed from the quote.
Deposits and stage payments as visible deductions.
Their numbers in the notes, so the job reconciles end to end.
Tax on the whole supply, less the tax already paid.
Every line of the job, at the agreed prices — not just what is left to pay.
Extra work on its own lines, so the change from the quote is explained.
Deposits and stage payments as visible deductions with their dates.
And the date it is due, in the terms.
Their numbers in the notes, so the whole job reconciles.
The full price, with the payments deducted. Anything else leaves the client’s records unable to reconcile against the total they agreed, and makes the tax on earlier payments hard to trace at year end.
The final invoice shows the tax on the whole supply and then deducts the payment already made including its tax, so the tax paid is not double-counted. Where your system requires it, state the earlier invoice numbers.
Show the original lines at the original prices and the extras as clearly described separate lines, ideally with the date each was agreed. An unexplained increase in a total is the single most disputed thing on any invoice.
On completion, or on the trigger the contract names — practical completion, delivery, acceptance. Issuing it late weakens your position on payment terms and on any interest that accrues.
