About the Web Design Invoice Generator

Web design projects are billed in phases, and the phase is what the invoice should name. "Website design — £6,000" is a single number a client can only accept or dispute; "Discovery and wireframes, 14 pages, including two rounds of revisions" is a number they can check against what they agreed.

This builder bills by milestone. Each line names the phase, and the detail row carries the scope — how many pages, how many rounds, what is included — which is also where a change of scope becomes visible rather than absorbed. Revisions beyond the agreed number go on as their own line, at a rate, which is far easier to charge for than to argue about afterwards.

A deposit line, a milestone schedule and a terms block reserving the design files until final payment are all set up. The last of those is the single most useful clause a designer can have.

How to use the Web Design Invoice Generator

  1. 1

Bill the phase, not the project

Discovery, wireframes, design, revisions, handover — each its own line.

  2. 2

State the scope in the detail row

Page count and rounds of revision included. This is where scope creep becomes visible.

  3. 3

    Charge extra rounds separately

At a stated rate, on their own line, rather than absorbing them.

  4. 4

    Deduct the deposit

Show the project total, what was paid on signature and the balance now due.

  5. 5

    Keep the files until paid

The terms block carries the clause releasing source files on cleared payment.

Frequently asked questions

Commonly 50% on signature and 50% on completion for small projects, or in three or four milestones for larger ones. Milestone billing keeps your cash flow ahead of your costs and gives the client a natural approval point.
