The Invoice Number Generator designs a numbering scheme — plain, year-based, month-based, client-based or by series — and generates the next numbers in an unbroken sequence, with warnings about padding, duplicates and leaked information.
Invoice numbers have one hard rule and a lot of soft ones. The hard rule, in almost every tax system: each number must be unique and follow an unbroken sequence, so a missing invoice is obvious. The soft rules are about making the number useful — readable, sortable, and carrying information you actually use.
This designs the scheme and generates the numbers. Choose from the common patterns — a plain sequence, year and sequence, year-month and sequence, client code and sequence, or a series letter for separate streams — set the padding so numbers sort correctly, and generate the next ten, fifty or two hundred in order.
It also checks the choices that cause trouble later: padding too short for your volume, a sequence that restarts each year without the year in the number, which creates duplicates, and a client code in the number that reveals how many invoices each client has received.
Plain, year, year-month, client and series.
0009 before 0010, in any file list.
A yearly restart without the year in the number.
What tax authorities expect.
Ten, fifty or two hundred at once.
Plain, year-based, month-based, client-based or series-based.
INV and four digits suits most small businesses.
The sequence continues from there.
As many as you need, in order.
Padding, duplicates and anything that leaks information.
For most small businesses: a short prefix, the year, and a padded sequence — INV-2026-0001. It is unique, it sorts correctly, it tells you the year at a glance, and it resets cleanly each year without creating duplicates.
Yes, provided the year is part of the number so INV-2026-0001 and INV-2027-0001 remain unique. Restarting a plain sequence without the year creates two invoices with the same number.
Avoid them. Tax authorities expect an unbroken sequence and a gap will be asked about. If an invoice is cancelled, keep the number and issue a credit note rather than reusing or skipping it.
You can start anywhere, and many new businesses start higher to avoid looking new. What matters is that each number after the first follows on without gaps.
Yes — a separate series for credit notes, proformas or a second trading name is common and allowed, as long as each series is itself unbroken and distinguishable by prefix.
