About the Purchase Invoice Generator

A purchase invoice is the same document seen from the other side: a bill you have received and have to record, check against a purchase order, and pay. Small businesses without an accounting system often have nowhere to put one, and the result is a shoebox and a bad January.

This builder gives the bill a structured form. The supplier goes in the from block and you go in the to block, the PO reference sits beside the supplier’s invoice number, and the lines carry whatever the supplier charged with the tax they charged. The totals show what is payable and what, if anything, has already been paid.

The value is in the export. CSV or JSON gives you a clean record per bill — supplier, date, net, tax, gross, PO — that goes straight into a spreadsheet or an accounting import, which is a great deal easier than keying twelve months of paper in at year end.

How to use the Purchase Invoice Generator

  1. 1

Enter the supplier as the sender

Their name, address and tax number go in the from block; yours go in the to block.

  2. 2

Copy their invoice number and PO

Use the supplier’s own number so your record matches their statement.

  3. 3

    Enter the lines as billed

Do not round or tidy them. The point is to match the document you received.

  4. 4

    Check the arithmetic

If the totals here do not match the bill, query it before you pay it.

  5. 5

    Export the record

CSV or JSON, one row per bill, ready for your ledger or your accountant.

Frequently asked questions

They are the same document. It is a sales invoice to the business that issued it and a purchase invoice to the business that received it. The difference is only which side of your books it lands on.
