The Invoice Filename Generator applies a naming convention — year-first date, number, client, amount — consistently to a whole batch of invoices, with unsafe characters removed and rename commands for Windows and macOS.
Year-end with a folder called "invoices" full of files named invoice.pdf, invoice (1).pdf, Invoice_final.pdf and scan0043.pdf is a small disaster that happens to almost every small business once. A naming convention prevents it, and the convention only works if it is applied exactly the same way every time.
This builds filenames from a pattern — date, invoice number, client, amount, document type — in an order you choose, with the date written year-first so files sort chronologically on any system. Characters that break on Windows, macOS or cloud storage are removed, long client names are shortened consistently, and the length stays well inside path limits.
Paste a list of invoices and it names them all at once, ready to copy into a rename script or to use as a reference while filing. It also suggests a folder structure that matches, because a good filename in a bad folder layout is only half the fix.
The only format that sorts correctly as text.
Nothing that breaks on Windows, macOS or cloud storage.
Paste a list and name them all.
Ready for Windows or macOS.
A matching layout by year, sales and purchases.
Date, number, client, amount, and whether it is a purchase or sale.
Date first sorts chronologically; client first groups by customer.
One line each, to name a whole batch at once.
Or the rename commands, for Windows or macOS.
Date written year-month-day, then the invoice number, then the client: 2026-03-17_INV-2026-014_BetaRetail.pdf. It sorts chronologically, it is unique, and it tells you what the file is without opening it.
Because it is the only date format that sorts correctly as plain text. 2026-03-17 sorts after 2026-02-28; 17-03-2026 sorts before 28-02-2026.
Slashes, backslashes, colons, asterisks, question marks, quotes, angle brackets and pipes, which are illegal on Windows, plus leading or trailing spaces and dots. Underscores and dashes are safe everywhere.
No. Keep them separate by year and then by sales and purchases. A single folder mixes two ledgers and makes both harder to reconcile.
