Invoice Duplicate Checker

Find duplicate invoices in a list before you pay one of them twice.

Days apart that two identical amounts from one supplier are still suspicious.

Quick Tool Overview

The Invoice Duplicate Checker reads a list of invoices and finds the four patterns a duplicate payment makes: the same number twice, the same supplier and amount on the same date, numbers that match once punctuation is ignored, and same-amount invoices close together.

About the Invoice Duplicate Checker

Paying an invoice twice is one of the most common and least noticed losses in accounts payable. It happens when a supplier emails a copy, when a PDF is filed and rekeyed, when the same job is invoiced once by the branch and once by head office, or when a number is typed as INV-1042 one day and INV1042 the next.

Paste your invoice list — a CSV, a spreadsheet column, or a statement pasted from an email — and this looks for four kinds of duplicate. Exact repeats of the same invoice number from the same supplier. The same supplier, amount and date under different numbers. Numbers that match once punctuation and leading zeros are ignored. And same-amount invoices from one supplier close together in time, which is the pattern a rekeyed invoice makes.

Each group is shown with the rows it contains and why they matched, ranked so the certain duplicates come first. It reads your list in the browser — supplier names, amounts and dates never leave your machine.
