Invoice Reconciliation Tool
Reconcile your ledger against a supplier statement or a bank export.
A printable aged debtors report, grouped by customer with bucket totals.
The Aged Debtors Report Generator turns a pasted ledger into the printable report a meeting, a lender or an accountant expects — grouped by customer, sorted by oldest debt, with bucket totals down and across, debtor days and customer concentration.
An aging calculation is a number. An aged debtors report is a document — the thing you take into a management meeting, send to a lender, or give to an accountant at year end. It groups the same data by customer, totals each bucket down and across, and prints on a page.
This builds one from a pasted list. Each customer gets a row with their total and how it splits across the buckets, sorted by the oldest debt so the problems are at the top rather than buried alphabetically. The footer totals every column, which is the check that the report reconciles to your ledger.
It also reports the two figures that turn a report into a decision: debtor days, which is how long your average invoice actually takes to be paid, and the concentration — what share of the outstanding total sits with your largest debtor. A business with 60% of its receivables in one customer has a different problem from one with the same total spread across forty.
With the total split across the age bands.
So the problems are at the top, not buried alphabetically.
Down and across, so it ties to your ledger.
How long your average invoice really takes to be paid.
What share sits with your largest debtor — the risk the total hides.
Number, customer, date, due date and amount outstanding.
Usually a month end, so it matches your accounts.
Sorted by oldest debt, so the problems are at the top.
The footer should match your ledger exactly.
A printable page for the meeting, or CSV for the accountant.
A report listing every customer who owes you money, with the total split across age bands. It is the standard receivables report in every accounting system and the one a lender or an accountant will ask for.
The average number of days your invoices take to be paid, calculated as receivables divided by revenue, times the days in the period. It is the single most useful cash-flow metric a small business can track.
Because the risk is not the total, it is the distribution. Sixty per cent of your receivables in one customer means one failure takes most of your working capital with it — which is a different problem from the same total spread across forty accounts.
Yes, for anything that has to reconcile to your accounts. Run it more often than that for your own use — a weekly look at the over-30 bucket catches problems while they are still solvable.
