Invoice Payment Terms Generator
Write payment terms that are actually enforceable, not just polite.
Bill lessons by session or block, with the student, subject and dates on it.
The Tuition Invoice Generator bills a parent for work done with a child, so the student, the subject and every session date are on the document — and the cancellation policy is printed on every invoice rather than agreed once and forgotten.
Tutoring is billed to a parent for work done with a child, which makes the invoice a record as much as a demand. It needs the student’s name, the subject, and the dates of the sessions — because a parent settling four weeks of lessons wants to see the four weeks, and because the missed-session conversation is far easier when the dates are on the page.
This builder puts the student and subject in the header and each session block on its own line with the dates in the detail row. Blocks of lessons paid in advance, single sessions, exam preparation, group rates and materials all sit on the same document.
The terms field carries the cancellation policy, which for a tutor is the single most valuable clause there is: a session cancelled with less than a day’s notice is a session that cannot be sold to anyone else, and saying so on every invoice is how it stops being contentious.
Because the invoice goes to a parent, not the pupil.
In the detail row, so four weeks of lessons are checkable.
Secures the slot and removes the weekly chase.
The most valuable clause a tutor has, on every invoice.
Private tuition by a sole trader is VAT-exempt in the UK.
In the header, because the invoice usually goes to a parent.
One line per block, with the individual dates in the detail row.
A block of ten at a slightly better rate is easier for both sides than weekly billing.
In the terms field, on every invoice — not once at the start.
Books, past papers and printing on their own line at cost.
Blocks paid in advance are the norm and they solve two problems at once: they secure the slot and they remove the awkwardness of chasing a parent for a small weekly amount.
By a stated notice period — commonly 24 hours — with sessions cancelled inside it charged in full. Print the policy on the invoice, not just in an email from three months ago.
Private tuition in a subject ordinarily taught in a school or university, given by a sole trader or partner, is exempt from VAT in the UK. Tuition supplied through a limited company generally is not. The rate here starts at zero for that reason.
The student’s name, the subject, the dates and length of each session, the rate, the total, and the payment terms. Parents keep them, and a bare total is impossible to check against a term of lessons.
