Consulting Invoice Generator
Bill by day rate, retainer or deliverable, with the engagement reference.
A subscription invoice with the plan, seats, billing period and proration.
The Subscription Invoice Generator shows its working: the plan and billing period, seats as a quantity, mid-cycle changes prorated on their own dated lines, usage overage against a named allowance, and credits applied visibly.
A subscription invoice is judged on one thing: whether the customer can tell why this month’s figure differs from last month’s. Seats changed, a plan was upgraded mid-cycle, usage went over an allowance, an annual discount kicked in — and if none of that is on the document, somebody opens a support ticket instead of paying.
This builder shows the working. The plan and the billing period go in the header, seats go in as a quantity against a per-seat price, and mid-cycle changes go in as their own prorated lines with the dates they cover in the detail row. Usage overage sits on its own line with the allowance and the excess named.
Annual prepayment, discounts and credits from a previous period are all handled, and the export gives you one clean row per invoice for revenue reporting.
So a change in headcount explains itself.
Mid-cycle upgrades on their own lines with the dates covered.
Allowance, usage and excess — never one blended figure.
A credit is a line, not a quietly smaller total.
One clean row per invoice, in CSV or JSON.
The plan, the seat count and the exact billing period in the header.
Seats times the per-seat price, so a change in headcount explains itself.
Their own lines, with the dates covered in the detail row.
The allowance, the usage and the excess — never one blended figure.
A credit from a previous period is a line, not a quietly smaller total.
As a prorated line covering the days from the change to the end of the period, with those dates shown. A single higher figure with no explanation is the most common cause of subscription billing queries.
Almost always — it is what makes the model work, and customers expect it. Usage-based components are billed in arrears because they cannot be known in advance, which is why most SaaS invoices carry both.
As a visible percentage discount on the annual line, so the customer sees what committing saved them. Quoting only the discounted figure loses you the credit for the concession.
For card-paid subscriptions the charge usually happens first, so the document is a receipt for a payment already taken. Mark it paid and set the balance to zero — an invoice demanding money that has already left the account causes needless alarm.
