About the Invoice Cancellation Generator

Cancelling an invoice is not deleting it. Once it carries a sequential number and has gone to a customer, it is part of an audit trail, and removing it leaves a gap that an auditor will ask about — which is a much worse conversation than the one about why the invoice was wrong.

The correct sequence is three things. A credit note that reverses the original in full, with its own sequential reference and a stated reason. A cancellation notice to the customer saying plainly that the invoice should not be paid, why, and what replaces it. And, where the work still stands, a corrected invoice with a new number.

This writes the notice and sets out the credit note, including the case that causes most confusion: an invoice that has already been paid. That is not a cancellation at all — it is a refund or a credit against the next invoice, and saying which you are doing is the whole of the message.

Key features of the Invoice Cancellation Generator

No deleted invoices

The original stays in the sequence; a credit note reverses it.

Plain notice

Do not pay this, here is why, here is what replaces it.

Handles an already-paid invoice

Which is a refund or a credit, not a cancellation.

Reason recorded

"Raised in error" is fine; saying nothing is not.

Audit trail intact

An invoice and a credit note that net to zero.

How to use the Invoice Cancellation Generator

  1. 1

    Name the invoice

Its number, date and amount. A cancellation that identifies nothing is useless.

  2. 2

    Give the reason

Plainly. "Raised in error" is fine; saying nothing is not.

  3. 3

    Say what replaces it

A corrected invoice number, or nothing if the charge is dropped.

  4. 4

    Handle any payment already made

A refund, or a credit against the next invoice — state which.

  5. 5

    Issue the credit note

With its own reference. The original invoice stays in the sequence.

Frequently asked questions

No. A sequential invoice that has been issued is part of your audit trail, and deleting it leaves a gap you will be asked to explain. Issue a credit note reversing it and, if needed, a corrected invoice with a new number.
