About the Credit Invoice

You cannot delete an invoice you have issued. Once it carries a sequential number and has gone to a customer it is part of an unbroken audit trail, and deleting it leaves a gap that an auditor will ask about. The correct fix is a credit invoice: a separate document that reverses some or all of the original and says why.

This builder produces one. It carries its own sequential reference, names the original invoice and its date, states a reason from the list that tax authorities actually recognise — returned goods, a pricing error, an over-billed quantity, a cancelled order, an agreed discount — and credits the tax as well as the net, which is the part most hand-written credit notes forget.

The amounts print as positive figures under a CREDIT heading rather than as negatives, which is how accounting systems and customers both expect to read one.

Key features of the Credit Invoice

Original invoice named

A credit note that references nothing is unusable.

Lines credited, not a lump sum

So stock and tax both reconcile.

Recognised reasons

Return, price error, quantity error, cancellation, agreed discount.

Tax credited too

Crediting net only leaves the tax overpaid.

Its own sequence

CN- numbering, so the invoice sequence stays unbroken.

How to use the Credit Invoice

  1. 1

    Name the original invoice

Its number and date. A credit note that does not reference one is unusable.

  2. 2

Credit the lines, not a lump sum

Reverse the specific lines and quantities, so stock and tax both reconcile.

  3. 3

    State the reason

Return, price error, quantity error, cancellation or agreed discount.

  4. 4

    Credit the tax too

At the same rate as the original. Crediting net only leaves the tax overpaid.

  5. 5

    Give it its own number

From a credit note sequence, not from your invoice sequence.

Frequently asked questions

No. A sequential invoice that has been issued is part of your audit trail, and removing it leaves a gap an auditor will question. Issue a credit note against it and, if needed, a corrected invoice with a new number.
