About the Invoice Total Calculator

Adding up an invoice is not adding up a column of numbers. The order matters, and getting it wrong produces a total that is right to within a few pence and wrong in a way an auditor will find.

The correct order is: line discounts first, because tax is charged on what you actually charged. Then the whole-invoice discount, spread across the lines in proportion to their value — which matters as soon as there is more than one tax rate, because a flat 10% off a basket of 20% and 5% goods has to reduce both tax bases. Then tax, one rate at a time. Then the charges tax does or does not apply to. Then rounding. Then what has already been paid.

This does exactly that, and shows every step, so you can see where a figure came from rather than having to trust it. Paste the lines from anywhere — a spreadsheet, an email, a quote — and it reads them.

Key features of the Invoice Total Calculator

The right order

Discounts, then tax, then charges, then rounding, then payments.

Discount spread proportionally

So every tax base is reduced, on a mixed-rate invoice.

One row per tax rate

Never a blended average, which cannot be reconciled.

Paste from anywhere

A spreadsheet, an email or a quote — the lines are read.

Working shown

So a difference points at a cause rather than a mystery.

Frequently asked questions

Line discounts, then the whole-invoice discount spread across the lines, then tax on the reduced amounts, then shipping and other charges, then rounding, then payments already made. That order is what an auditor expects and what makes the arithmetic reproducible.
