About the Invoice Refund Calculator

A refund is not simply the reverse of a payment, because several things have to be unwound and some of them do not come back. The goods value returns. The tax on it has to be credited, which means a credit note rather than a bank transfer. The shipping may or may not return depending on what happened. A restocking or cancellation fee may be retained if it was agreed. And the payment processing fee on the original transaction is usually gone for good.

This works all of it out for a full or a partial refund, including the pro-rata case — a subscription cancelled eleven days into a thirty-day month, or a service part-delivered — where the refundable share is a fraction rather than a whole line.

It also flags where the law has a view. In the UK and the EU, a consumer cancelling under distance selling rules is entitled to the outbound delivery cost back at the basic rate, and a restocking fee on a lawful cancellation is not enforceable — which is worth knowing before you deduct one.

Frequently asked questions

Yes. A refund reduces the value of the supply, so the tax charged on it must be credited too, through a credit note. Refunding the gross without issuing a credit note leaves the tax overpaid on your return.
