Work out the deposit

A deposit request has to state three things or it causes trouble later: how much is due now, what the full price is, and what triggers the balance. Set the first two here and the third goes in the notes.

Quick Tool Overview

The Deposit Invoice Generator states the three things a deposit request must: how much is due now, what the full price is, and what triggers the balance — and it charges tax on the deposit, because receiving one usually creates a tax point.

About the Deposit Invoice Generator

A deposit invoice is a request for part of a price before the work happens, and it has to be explicit about three things or it causes trouble later: how much is due now, what the full price is, and what triggers the balance.

This builder states all three on the face of the document. The deposit is calculated as a percentage of an agreed total or entered as a flat amount, the total is shown so the client can see what they are committing to, and the balance and its trigger — completion, delivery, a milestone, a date — sit in the notes.

It also handles the tax question, which is the part most templates get wrong. In most jurisdictions a deposit creates a tax point when it is received, so tax is due on the deposit at the time it is paid rather than at the end of the job. The tax is therefore charged on the deposit here, and the final invoice shows it already accounted for.

How to use the Deposit Invoice Generator

  1. 1

    Set the agreed total

The full price, so the deposit reads as a proportion of something.

  2. 2

    Choose the deposit

    A percentage — 25%, 33% or 50% are the usual shapes — or a flat amount.

  3. 3

    Charge tax on the deposit

A deposit usually creates a tax point when it is received, not at completion.

  4. 4

State the trigger for the balance

Completion, delivery, a milestone or a date — in the notes, not by implication.

  5. 5

    Say whether it is refundable

The most useful sentence on the document.

Frequently asked questions

In the UK, EU and most VAT and GST systems, receiving a deposit creates a tax point, so tax is due on it at that moment rather than at the end of the job. A genuine security deposit that is refundable and not part of the price is treated differently.
