About the Invoice in USD

Invoicing in dollars is mostly about not bringing European habits with you. There is no federal VAT, so an invoice to a US business normally carries no tax at all unless you have sales tax nexus in their state — and a VAT line on an invoice to a US company will stop it being paid while somebody works out what it is.

The paper is US Letter, not A4. Dates are month-day-year, which is why 03/04/2026 means March in New York and April in London — writing the month as a word removes the problem entirely. Payment is by ACH for domestic transfers, which needs a nine-digit routing number and an account number, or by wire, which needs a SWIFT code as well.

A US payer will usually ask a foreign supplier for a W-8BEN or W-8BEN-E before the first payment, and a domestic one for a W-9. Having it ready when you send the invoice removes the commonest cause of a first payment taking six weeks.

How to use the Invoice in USD

  1. 1

Leave the tax off unless you have nexus

No federal VAT exists. Charge sales tax only where you are registered.

  2. 2

    Use Letter and US dates

Both are already set. Write the month as a word if in any doubt.

  3. 3

    Give ACH and wire details

Routing number and account for ACH; add SWIFT and the bank address for a wire.

  4. 4

    Attach the right tax form

W-9 if you are US, W-8BEN or W-8BEN-E if you are not.

  5. 5

    Set Net 30

The default for US business terms, and what most AP systems expect.

Frequently asked questions

Normally no. The United States has no VAT, and a supply to a US business is usually outside the scope of your own VAT. Check the place-of-supply rules for what you sell, but a VAT line on a US invoice is far more often wrong than right.
