Compare two invoices line by line and see exactly what changed.
The Invoice Comparison Tool compares two invoices line by line — this month against last, an invoice against its quote, a renewal against the year before — and breaks the change in the total into price, quantity and added or removed lines.
Two invoices that should be the same and are not is a problem that takes twenty minutes to find by eye and ten seconds to find properly. It comes up constantly: this month’s invoice against last month’s, an invoice against the quote it came from, a supplier’s revised invoice against the one they sent first, or a renewal against the year before.
This compares them line by line. Lines that appear on both are matched by description and the differences in quantity, unit price and total are shown for each. Lines that appear on only one side are listed as added or removed. And the totals are compared with the change broken into how much came from price rises, how much from quantity changes, and how much from lines appearing or disappearing — which is the analysis that actually answers why this one is more than the last one.
Percentage changes are shown alongside the amounts, because a 40% rise on a small line often matters more than a 2% rise on a large one when you are deciding what to query.
Including lines that were reworded slightly.
Often where the real difference is hiding.
How much came from price, quantity and new lines.
A 40% rise on a small line can matter more than 2% on a large one.
Every line should match what was accepted.
Description, quantity and price, one line each.
The later version, the renewal, or the quote it came from.
Matched by description, with price and quantity changes shown.
Often where the real difference is hiding.
How much of the change came from price, quantity and new lines.
By description, ignoring case and punctuation, and then by close similarity for lines that were reworded slightly. Anything that cannot be matched is reported as added or removed rather than silently paired with something else.
The comparison breaks it down: how much came from higher prices on the same lines, how much from larger quantities, and how much from lines that were not there before. Those three need different conversations.
Yes, and it is one of the most useful things to do with it. Every line and price on an invoice should match the accepted quote, and anything that does not should be work you agreed separately.
Yes, where rates are given. A change in the effective tax rate between two otherwise identical invoices usually means a line moved between rates, which is worth catching before it is filed.
