Purchase Invoice Generator
Record a supplier bill against a purchase order, ready for your accounts.
Ask for a deposit or advance, with the balance and its trigger stated.
A deposit request has to state three things or it causes trouble later: how much is due now, what the full price is, and what triggers the balance. Set the first two here and the third goes in the notes.
The Deposit Invoice Generator states the three things a deposit request must: how much is due now, what the full price is, and what triggers the balance — and it charges tax on the deposit, because receiving one usually creates a tax point.
A deposit invoice is a request for part of a price before the work happens, and it has to be explicit about three things or it causes trouble later: how much is due now, what the full price is, and what triggers the balance.
This builder states all three on the face of the document. The deposit is calculated as a percentage of an agreed total or entered as a flat amount, the total is shown so the client can see what they are committing to, and the balance and its trigger — completion, delivery, a milestone, a date — sit in the notes.
It also handles the tax question, which is the part most templates get wrong. In most jurisdictions a deposit creates a tax point when it is received, so tax is due on the deposit at the time it is paid rather than at the end of the job. The tax is therefore charged on the deposit here, and the final invoice shows it already accounted for.
So the deposit reads as a proportion of something.
The client sees what they are committing to, not just the first slice.
Tax charged on the deposit, which is when it usually falls due.
Completion, delivery, a milestone or a date — explicitly.
The most useful sentence on the whole document.
The full price, so the deposit reads as a proportion of something.
A percentage — 25%, 33% or 50% are the usual shapes — or a flat amount.
A deposit usually creates a tax point when it is received, not at completion.
Completion, delivery, a milestone or a date — in the notes, not by implication.
The most useful sentence on the document.
In the UK, EU and most VAT and GST systems, receiving a deposit creates a tax point, so tax is due on it at that moment rather than at the end of the job. A genuine security deposit that is refundable and not part of the price is treated differently.
Enough to cover your committed costs and the loss of a cancelled slot. A third is common for services, 50% for made-to-order goods, and full payment in advance for a first-time overseas customer.
Only if you say so. State it plainly on the invoice — a non-refundable deposit that is described nowhere is very hard to keep if the customer walks away.
It shows the full price, the tax on the full price, the deposit already paid deducted, and the balance due. Use the Final Invoice Generator, which is set up for exactly that.
